For accountants and bookkeepers

Use AI on client work without exposing client data

Your team already uses AI for tax reminders, payroll queries and letters to HMRC. Saiela takes the client details out before anything is sent, and keeps the records your practice needs.

Built for UK practices: UTRs, NI numbers, PAYE references and HMRC letters.

Where personal data slips into AI

Nobody means to. It just happens in the quick jobs, like a reminder email or a payroll check.

  • Client emails and letters

A reminder about a tax return pulls in the client's name, email address and UTR before anyone notices.

  • Payroll spreadsheets

Checking one formula in a payroll file can send every employee's National Insurance number and pay to a personal AI account.

  • Reliefs and circumstances

A note that a client claims tax relief because of a disability is special category data, which needs the most care of all.

ChatGPT for accountants: what UK GDPR expects

Yes, on the right plan and with the right safeguards. A business plan such as ChatGPT Business, or Microsoft Copilot signed in with a work account, comes with a data processing agreement (the contract that covers your clients' data). A free or personal account doesn't, and may use what's typed to train the provider's AI.

So approve the business plans your practice pays for, publish a short AI policy, and keep UTRs, NI numbers and bank details out of prompts. Saiela does that last part for you.

Swap and restore

AI does the work. Your client stays anonymous.

Saiela checks what you type into AI right there in the browser. Names and numbers are swapped out before anything is sent, then swapped back when the answer arrives, on your screen only.

What you type

Draft a reminder to Jane Smith (UTR 12345 67890) that her tax return is due on 31 January.

What the AI receives

Draft a reminder to [PERSON_1] (UTR [UTR_1]) that her tax return is due on 31 January.

Made-up example. These aren't real people.

Proof

When your insurer or the ICO asks, you're ready

Someone will ask how your practice uses AI one day. When they do, it's already written down.

  • A DPIA and records of processing that list your AI providers
  • An AI policy, shared with your team and signed by everyone
  • Staff AI lessons with examples from your own kind of work
  • A log of every AI use, never the content, and one report you can send

How the compliance centre works

Saiela's If the ICO called today card: records of processing, DPIA, AI policy, staff training, breach register and vendor contracts, each marked up to date or needing a fix.

Questions

What accountants ask about using AI safely.

What does UK GDPR expect if our practice uses ChatGPT?

The right protections. Use a business plan that comes with a data processing agreement (the contract that covers your clients' data), such as ChatGPT Business or Microsoft Copilot signed in with a work account. Publish an AI policy, do a risk assessment (a DPIA), and keep client details out of prompts. Saiela handles that last part for you.

How do we find out which AI tools our team is using?

Saiela shows you every AI tool used in the browser across your practice, including personal accounts and new tools as they appear. You choose which are approved for client work, which are allowed for work with no personal data, and which are blocked.

Is the accounting pack included in Free?

No. Free includes UK detection: names, National Insurance numbers, tax references, bank details, addresses and phone numbers. The accounting pack, with VAT and Companies House numbers, PAYE references, client codes and tipping-off protection, is part of Team.

Does Saiela help with anti-money-laundering rules?

Saiela isn't an anti-money-laundering tool. Its accounting pack stops anything that mentions a money-laundering report from reaching an AI tool, which helps you avoid tipping off a client by accident.

Will it slow my team down?

No. Your team keeps using the same AI tools in the same way. The swap happens as they send, and the answer comes back with the real details in place.
